Day-of coordinators, wedding content creators, and what each costs.
A wedding coordinator runs the wedding you have already planned. On the day the team takes over your vendors, your timeline and your family: vendor arrivals and set-up checks, the run sheet minute by minute, the baraat, entries and pheras on time, guests seated and fed, overtime watched, and the pack-down. Planning, sourcing and design are a different job.
Published directory bands put wedding-day coordination at ₹50,000–1.5 lakh per wedding in Delhi NCR, with generic event crews from ₹30,000 a day and many planners folding day-of coordination into a ₹1.5–5 lakh planning fee. Our team is ₹50,000 + GST per wedding day: five people on a 12-hour shift, extra coordinators at ₹7,500 each.
A planner builds the wedding over months: budget, venue, vendors, design, guest travel. A coordinator runs the day the planner or the family built: the run sheet, the vendors on site, the timings. Planners cost 10–15 percent of the budget or a fixed fee from ₹2.5 lakh; coordination is a day rate from about ₹50,000.
If a family member is free to work the whole day and the wedding is one venue, one function, you can manage without. If there are three or more vendors, a baraat, a timed muhurat, two venues or 200-plus guests, someone has to run it, and the cost of that person being your mother or your brother is the wedding they do not get to attend.
Usually, yes. The venue's coordinator works for the venue: banquet set-up, the kitchen, the hotel's own staff and rules. Nobody from the hotel chases your décor team, your DJ, the pandit, the baraat or your family. A wedding coordinator works for you across every vendor and every function, including the ones away from the venue.
Four to eight weeks before the wedding is normal, because coordination starts once the plan exists: the team needs your vendor contracts, contacts, the function list and the family's priorities to write the run sheet. Peak December Saturdays go first. Payment follows our standard terms: 25 percent to confirm, 50 percent midway, 25 percent a month before.
Five for a typical 200–300 guest function: two shadows with the bride and groom and three event coordinators on vendors, stage and guests. Large venues, split-venue functions or 300-plus guests usually need one or two more; multi-day weddings are staffed day by day. Fewer than three and someone from the family ends up working the wedding.
Appoint one person who is not a parent or sibling, give them the vendor list with phone numbers, a one-page run sheet with set-up times, and the authority to decide. Brief every vendor on who that person is. It works for one function at one venue; past that, a professional team is cheaper than the wedding you miss.
Often, yes, because coordination is booked by the day rather than by the season, and a team that runs weddings every week can take a date three to four weeks out if the plan, vendor list and run sheet exist. The later the booking, the more the first meeting is a handover: contracts, contacts, timings and the family's must-haves.

It sits alongside the photo and film team, which shoots the posed, polished record delivered weeks later.
A wedding content creator shoots on a phone and gimbal for the screen, not the album: trend-led reels, live stories posted during the function, talk-to-camera moments, and the couple's page kept updated through the wedding. Edits are done at the venue, so a function that ends at midnight can be online before lunch.
No. The photo and film team shoots the record of the wedding: portraits, the pheras, the album and the film delivered in weeks or months. The content creator shoots the phone-first version for the next 24 hours: reels, stories, the couple's page. Most couples book both; a content team that knows the run sheet stays out of the photographers' frames.
Single-function, single-creator work starts around ₹10,000–15,000 on Instagram; packaged weddings run ₹30,000–1.25 lakh; the category's best-known studio starts at ₹2 lakh for 20 reels delivered in 40–50 days. Our packages run ₹15,000 for one creator to ₹1.25 lakh for a destination wedding, with 20 reels in seven days at ₹50,000.
If you want the wedding on your own accounts while it is happening, and reels your guests will actually watch, yes, and at ₹15,000–50,000 it is one of the cheaper lines on the sheet. If you only want the record, the photo and film team is enough. The waste is a content team that does not know the run sheet and misses the moments.
It depends on days and creators: a solo creator delivers about six reels from one day, a duo twelve, a three-day signature package twenty, and multi-day teams forty or more. Treat any reel count as a floor: the day decides how much usable material there is. Ask for the count, the delivery days and the raw footage in writing.
Live stories go up during the function. Same-day reels are possible when the edit desk is at the venue; the main set lands within seven days in our packages. Market norms run from 24–48 hours for the first reel to 40–50 days for a full set at some studios, so the delivery date is the question to ask before the price.
Not always, and it is the term to check. Many studios keep raw phone footage or sell it as an extra. Our Signature package and above hand over the raw drive with the edited reels; on The Solo and The Duo it is a ₹5,000 add-on. The couple's page is set up, run through the wedding and handed back with everything on it.
