Wedding Coordinator Cost in India 2026: Day Rates, Directory Bands and What a Coordinator Actually Does
In short
Wedding-day coordination in India costs about ₹30,000–1.5 lakh per wedding day in 2026: ₹30,000 for a generic event crew, ₹50,000–1.5 lakh in the directory bands for Delhi NCR, and inside a ₹1.5–5 lakh fee when a planner sells it with planning. Our five-person team is ₹50,000 + GST per day.
Search for a wedding coordinator in India and the prices you find are mostly for planners. The two jobs get sold together, which is why a family that has already planned its own wedding struggles to find a number for the one thing it still needs: a team to run the day. This guide puts the published figures in one place, from directory price bands, planner fee guides and our own day rate, read in October 2026, and explains what moves them.
The published bands
The bands first. The large Indian wedding directories publish a wedding-day coordination band of ₹50,000–1.5 lakh per wedding for Delhi, Gurgaon and Noida, and that is the figure Google quotes when someone asks. Generic event crews on business marketplaces list from ₹30,000 a day for a supervisor and ushers. Planner fee guides put day-of coordination at ₹50,000–1.5 lakh and partial planning at ₹75,000–3 lakh. Most full-service planners do not sell coordination on its own at all; it sits inside a planning fee of ₹1.5–5 lakh in Delhi NCR, or 10–15 percent of the budget at the luxury tier.
| Band | Price | What it is |
|---|---|---|
| Low | ₹30,000 a day | generic event crews on business marketplaces: a supervisor and ushers |
| Typical | ₹50,000–1.5 lakh per wedding | the directory band for Delhi, Gurgaon and Noida; teams of three to six |
| Ours | ₹50,000 + GST per day | five people, 12-hour shift, handover call and run sheet; extra coordinators ₹7,500 |
| Partial planning | ₹75,000–3 lakh | coordinator joins earlier and helps with named areas |
| Inside a planning fee | ₹1.5–5 lakh, or 10–15% of budget | full-service planners who do not sell the day on its own |
What a day rate buys
What a day rate buys. At the ₹30,000 end you get a supervisor and a few ushers who arrive on the day. At ₹50,000–1 lakh you should get a team of four to six that has met your family and your vendors before the wedding, a minute-by-minute run sheet, a vendor contact sheet with call-times, shadows with the bride and the groom, and someone whose only job is the timeline. Above ₹1 lakh the price usually reflects more days, more coordinators or a planner's brand rather than a different service. Our own team is ₹50,000 + GST per wedding day for five people on a 12-hour shift, with extra coordinators at ₹7,500 each.
What moves the number
What moves the number. Team size first: 300-plus guests, split venues or a baraat that travels add one or two coordinators. Days second: a three-function wedding is three day rates, not one. Hours third: most teams quote a 12-hour shift and charge overtime beyond it, so agree the rate before the day. Then travel: outstation weddings add the team's travel, stay and meals. The one thing that lowers the price is readiness. A family with signed contracts, a vendor list and a function order hands over in one call; a family still finding a DJ is buying planning, not coordination.
Planner, coordinator, venue coordinator
Planner, coordinator, venue coordinator. A planner joins eight to eighteen months out and builds the wedding. A coordinator joins four to eight weeks out and runs it. The venue's coordinator works for the venue: the banquet set-up, the kitchen, the hotel's own rules. Nobody from the hotel chases your décor team, your pandit or your baraat, which is why a hotel wedding still needs a coordinator who works for you.
When to book
When to book. Four to eight weeks out is normal, because coordination starts when the plan exists. The exception is the calendar: December Saturdays and the big muhurat dates book first, so hold the date as soon as you know it and do the handover meeting three weeks before. Coordination is booked by the day rather than by the season, so a date three weeks out is often still open with a team that runs weddings every week.
The questions to ask
The questions to ask. How many people, by name and role, on the day; the shift length and the overtime rate; whether there is a handover call and a written run sheet; whether the team has run your venue before; what happens if a coordinator falls ill; what is not included; and whether the price includes GST. If an answer is vague, the day will be too.
We run about sixty weddings a year and sell the day on its own at a published rate because many families in Delhi NCR have done the planning themselves and want the wedding back on the day. The coordination page sets out exactly what the team does hour by hour, the areas we cover from Gurugram to Noida, and the price, in that order.
Common questions
How much does a wedding coordinator cost in India?+
Published directory bands put wedding-day coordination at ₹50,000–1.5 lakh per wedding in Delhi NCR, with generic event crews from ₹30,000 a day and many planners folding day-of coordination into a ₹1.5–5 lakh planning fee. Our own team is ₹50,000 + GST per wedding day: five people on a 12-hour shift, extra coordinators at ₹7,500 each.
How much does a wedding coordinator charge per day in Delhi?+
In Delhi NCR the published band is ₹50,000–1.5 lakh per wedding, usually quoted per wedding day for a team of three to six. Day rates rise with team size, split venues and 300-plus guest counts, and fall when the family has a complete vendor list and run sheet to hand over.
What is the difference between a wedding planner and a wedding coordinator?+
A planner builds the wedding over months: budget, venue, vendors, design, guest travel. A coordinator runs the day the planner or the family built: the run sheet, the vendors on site, the timings. Planners cost 10–15 percent of the budget or a fixed fee from ₹2.5 lakh; coordination is a day rate from about ₹50,000.
Is a wedding coordinator worth it?+
For a wedding with three or more vendors, a baraat, a timed muhurat, two venues or 200-plus guests, yes: someone has to run it, and the alternative is a parent or sibling working the day instead of attending it. For one function at one venue with a free family member, you can manage without.
What does a month-of coordinator cost?+
Month-of or partial coordination, where the coordinator joins four to six weeks out and takes over your contracts and timeline, is published at ₹50,000–1.5 lakh for the day and ₹75,000–3 lakh where it stretches into partial planning. Ask what starts when: the handover call, the run sheet, the vendor calls.
When should you book a wedding coordinator?+
Four to eight weeks before the wedding is normal, once the plan exists, because the team needs your vendor contracts, contacts, function list and the family's priorities to write the run sheet. Peak December Saturdays go first, so hold the date early and do the handover three weeks out.
